This document contains the core policies for Alka Care Solutions training and consultancy services.
Safeguarding Policy
1. Policy Statement
Alka Care Solutions is committed to safeguarding the welfare of all adults and young people who take part in our training programmes. Everyone has the right to live and learn in a safe environment, free from harm, abuse, and neglect. We recognise our duty of care and responsibility to promote the wellbeing of learners, clients, and those we may come into contact with during training delivery.
2. Purpose
- To set out how safeguarding will be promoted in all training activities.
- To outline responsibilities and procedures if concerns arise.
3. Scope
This policy applies to:
- The owner/trainer(s) of Alka Care Solutions
- Any associates or guest trainers engaged to deliver courses
- All learners attending training sessions (face-to-face or online)
4. Definitions of Abuse
Safeguarding concerns may include (but are not limited to): Physical abuse, Emotional/psychological abuse, Neglect and acts of omission, Sexual abuse, Financial abuse, Discriminatory abuse.
5. Responsibilities
- Safeguarding Lead: Alka Sahnan will act as the Designated Safeguarding Lead (DSL) for the business.
- All learners, associates, and clients have a responsibility to raise concerns immediately if they believe someone is at risk of harm.
6. Reporting Concerns
- Concerns reported directly to DSL.
- Immediate danger: call 999.
- Concerns relating to adults at risk: report to the Local Authority Safeguarding Adults Board.
7. Confidentiality
Information will only be shared with relevant agencies on a need-to-know basis, in line with GDPR.
8. Review
This policy will be reviewed annually, or sooner if required by changes in legislation or guidance.

Equality, Diversity & Inclusion Policy
Policy Statement
Alka Care Solutions is committed to promoting equality of opportunity and creating an inclusive learning environment.
Purpose
Promote equal access, ensure learners feel respected and included, comply with Equality Act 2010.
Scope
Owner/trainer(s), associates, learners, clients.
Commitments
Ensure training is inclusive, materials free from bias, make reasonable adjustments, challenge discrimination.
Responsibilities
Director is responsible for implementation, all trainers and learners must uphold these principles.
Complaints
Complaints dealt with under Complaints Policy.
Review
Reviewed annually or when required.

Health & Safety Policy
Policy Statement
Alka Care Solutions is committed to ensuring the health, safety, and welfare of all learners, clients, associates, and trainers.
Purpose
Set out how health & safety risks will be managed.
Scope
Applies to trainers, associates, learners, and clients.
Commitments
Risk assessments, safe use of equipment, fire safety procedures, safe online training environments.
Responsibilities
Director responsible overall, trainers follow safe practice, learners take reasonable care.
First Aid & Emergencies
Venues must have first aid provision, emergencies handled by venue procedures, accidents reported.
Review
Reviewed annually or when risks/legislation change.

Data Protection & GDPR Policy
Policy Statement
Alka Care Solutions is committed to protecting personal data and complying with UK GDPR and Data Protection Act 2018.
Purpose
Outline data collection, use, storage, and protection.
Scope
Owner/trainer(s), associates, learners, and client data.
Data Collected
Learner contact details, client info, attendance, certificates, invoices.
Principles
Lawful, fair, transparent, limited, accurate, secure, retained only as long as needed.
Data Security
Electronic data password protected, paper stored securely, no unauthorised sharing.
Rights of Individuals
Access, correction, deletion, object to processing, complain to ICO.
Responsibilities
Director is Data Controller, all associates must comply.

Complaints Policy
Policy Statement
Alka Care Solutions values feedback and is committed to resolving complaints quickly, fairly, and transparently.
Purpose
Provide a clear complaints process.
Scope
Learners, clients, and associates.
Definition
Complaint = any dissatisfaction with service.
Procedure
Stage 1 Informal → Stage 2 Formal written complaint → Stage 3 Investigation → Stage 4 Appeal.
Confidentiality
Complaints handled confidentially.
Learning
Complaints recorded and used to improve services.

Quality Assurance Policy
Policy Statement
Alka Care Solutions is committed to high-quality, consistent, effective training and consultancy services.
Purpose
Outline how quality will be monitored and maintained.
Scope
Owner/trainer(s), associates, learners, clients.
Commitments
Use evidence-based materials, gather feedback, review programmes annually, monitor trainers, respond to complaints.
Responsibilities
Director responsible overall, trainers deliver to standards, learners provide feedback.
Monitoring
Feedback analysed, materials checked, trends monitored, adjustments made.
Review

Training Delivery Policy
Policy Statement
Alka Care Solutions is committed to providing engaging, professional, and high-quality training. We aim to deliver training that meets agreed learning outcomes, supports learner development, and provides value to clients.
Purpose
- To outline how training will be delivered, monitored, and evaluated.
- To clarify arrangements for cancellations, feedback, and certification.
Scope
This policy applies to all training programmes delivered by Alka Care Solutions, including face-to-face and online courses.
Delivery Standards
- Training will be delivered by competent, knowledgeable trainers.
- Content will be up-to-date and evidence-based.
- Materials will be clear, accessible, and inclusive.
- Sessions will start and finish on time.
Certificates
- Certificates of completion will be issued to learners who attend and complete training requirements.
- Certificates will include the learner's name, course title, date, and trainer signature.
Cancellations & Refunds
- Clients must give at least 7 working days' notice to cancel or reschedule a booking.
- Cancellations made with less notice may be charged at full or partial cost.
- If Alka Care Solutions needs to cancel, clients will be offered an alternative date or a full refund.
Feedback & Evaluation
- Feedback will be collected after every training session.
- Feedback will be used to improve training delivery and learner experience.
Responsibilities
- The Director (Alka Sahnan) ensures that all training delivery meets quality standards.
- Trainers are responsible for following agreed session plans and respecting learner needs.
- Learners are expected to engage positively and provide constructive feedback.
Review
This policy will be reviewed annually, or sooner if required due to feedback or legislative changes.
